COMPULSORY FORMS
In order to be permitted access to their pop up room, all activation exhibitors will need to submit for approval comprehensive Health and Safety documentation pertaining to the set up of their room including:

Completed Health & Safety Declaration​

A copy of a scaled drawing including plans and elevations. Stand plans are to be written in English, showing all dimensions to a clearly recognisable scale

Full details of fabrics and materials being used

Construction Phase Plan

Risk Assessment for the build and breakdown period

Risk Assessment for the open period
-
Method statement
-
Structural calculations (for complex structures only)

Public Liability Insurance cover for a minimum of £2 million for each occurrence

Submit a copy of your Public Liability Insurance Document
Once all documents have been submitted, the plans will be sent to our Health & Safety floor manager for review. Once approved, a ‘Permission to Build’ certificate will be issued. If there are any alterations required to the stand designs and/or documentation then the organiser will notify the exhibitor as to the amends required and the documentation will need to be re-submitted for approval by the exhibitor.
Additionally if you will require access to the venue's Loading Bay to drop off items and equipment for your room please also complete step 4.

Complete and submit a Loading Bay time-slot request form**
Deadline for submission: Friday 12th June 2026
**The Loading Bay operates on a drop-and-go basis only and ALL vehicles will need to pre-book a time-slot in order to gain access to the bay. Time-slots are allocated on a first-come-first-served basis. Further information regarding the loading bay and parking facilities at the venue can be found HERE.
